Understanding Employee Email Notification Messages

There are two types of email notification messages. Schedule update email messages are created and controlled by your manager or scheduler. Employee-created email messages are created by actions you or your fellow employees take.

Depending on your organization's configuration, you may also be able to use the Calendar Sync feature to subscribe to a calendar feed that automatically sends your scheduled tasks from Staff Manager to your personal calendar program. See Updating the My Information pages for more information.

Schedule Update Email Messages

Managers can use the email schedule notification feature to send schedule updates to their staff. You should note, however, that not all organizations use this feature.

Managers set employee email addresses to receive schedule emails in Staff Manager Client. This is also where managers select the email format. Staff Manager sends schedule updates to each email address it has on file. If someone has multiple email addresses set to receive updates, they get one email at each address.

Staff Manager sends schedule emails automatically at a specified time. Manager can also trigger Staff Manager to send emails on demand as schedules change. Emails arrive in one of four formats.

When your email preferences include the iCalendar, vCalendar, or CSV formats, Staff Manager attaches a schedule file in that format to your email message. You can update your schedule by importing the file into third-party calendar application such as Microsoft Outlook, Apple iCloud, or Google Calendar.

You should tell your manager if your email addresses change. Managers can also update your email preferences, such as your preferred schedule file format (iCalendar, vCalendar, or CSV).

To import an email attachment into a personal calendar, your email application must be compatible with the file format (iCalendar, vCalendar, or CSV). The email application vendor should be able to confirm the file compatibility. If you are unsure of your application's capabilities, you should contact the vendor for the options available to you.

There are two types of Schedule Notifications: posted schedule announcements and schedule updates. If you receive email notifications, you will get both types. Managers can also create email distribution lists to send schedule emails to several people at once.

There are also two types of schedule updates: employee updates and profile updates. Employee schedule updates are sent to you to give details about changes to your schedule. Profile updates are sent to defined distribution lists and give you details about the changes to employee schedules in one or more profiles.

Managers can customize the subject and body text of schedule email notification messages. For example, managers can enter a URL as part of the message, such as the URL of your Clairvia Web login page. Most email programs then convert the URL into a link when you receive the message.

People who get both schedule and profile updates get emails with the schedule and profile schedule messages combined. The messages are in two different sections to make them easier to read.

Employee-Created Email Notification Messages

In addition to receiving schedules and schedule changes through email messages, you can also receive messages about requests, shift swaps, and Shift Opportunities. You select which types of email messages you would like to receive on the My Preferences page.

You must enable Email Notifications on the My Preferences page in order to receive email messages.

Request Email Messages

When you make a request, Staff Manager sends you an email message with the request details. If you make multiple requests at the same time, the message includes information on each one.

When your manager approves or denies your request, you receive another email message notifying you of your request's status. Note that you may receive information on multiple requests in the same email message.

Shift Opportunity Email Messages

When you apply for a Schedule Me opportunity, you are automatically scheduled for that shift, and Staff Manager sends you a schedule notification email message.

When you apply for a Consider Me opportunity, Staff Manager sends you an email message with the opportunity details. If you apply for multiple opportunities at the same time, the message includes information on each one.

When your manager approves or denies your Consider Me opportunity, you receive another email message with its status. Note that you may receive information on multiple opportunities in the same email message.

Shift Swap Email Messages

If you enable shift swap email notifications, you receive email messages when someone wants to swap shifts with you, when you send someone a shift swap invitation, and (if your department requires manager approval of shift swaps) when a manager approves or denies the shift swap.

When someone invites you to swap shifts, you receive an invitation message. When you invite someone to swap shifts, you receive a message when that person accepts or declines your invitation.

When your manager approves or denies your shift swap, you receive another email message with the swap status.
