Configuring Email Notification Messages
Profile administrators can customize the employee schedule notification email messages employees receive. These messages are displayed before the standard notification messages. Administrators send schedule email notifications from Staff Manager Client.
In addition to configuring schedule notification messages, you can also customize messages for Shift Opportunities and Shift Swaps. See Configuring Open Shifts and Shift Opportunities and Configuring Shift Swaps for more information.
- From the Configure menu, select Email Notification Settings > Message Configuration. The Message Configuration page opens.
- At the top of the page, select a profile from the menu.
- To add text to the Schedule Posted Notifications email messages:
- Enter a subject line in the Posting Schedule Subject Line box. This text is displayed after the Subject standard text, which is [Employee First Name Employee Last Name]: Schedule Updates for [dates of schedule changes]. If you do not enter a subject line here, only the default text displays.
- Enter a message in the Posting Schedule Body Message box. This text is displayed after the message, which details schedule changes. If you want, you can enter a URL as part of the message, such as the URL of your Clairvia Web login page. Most email programs will convert the URL into a link when the employee receives the message.
- To add text to the OnDemand Schedule Notifications email messages:
- Enter a new subject line in the Update Schedule Subject Line box. This text is displayed after the Subject standard text, which is [Employee First Name Employee Last Name]: Schedule Updates for [dates of schedule changes]. If you do not enter a subject line here, only the default text displays.
- Enter a new message in the Update Schedule Body Message box. This text is displayed at the end of the message. If you want, you can enter a URL as part of the message, such as the URL of your Clairvia Web login page. Most email programs will convert the URL into a link when the employee receives the message.
- Click Save.
Copying Email Notifications to Other Profiles
Complete the following steps to copy email notifications to other profiles:
- Click Copy to Other Profiles. The Copy to Other Profiles window opens.
- Select a profile in the Profiles box. To select multiple profiles, CTRL+click the profile names. To select a range of profiles, SHIFT+click the first and last profiles in the range.
- Click Add to move the selected profiles to the Profiles to Copy to box.
- Click OK to finish selecting profiles and close the Copy to Other Profiles window.
- Click Save.

Customized messages are optional; you can use them to help clarify that the message is a work schedule change versus a patient schedule change if your organization has multiple scheduling applications. These messages can provide users with profile-specific information.
You can make changes at any time and affect all email notifications sent after you create your customized message. The following example outlines the default text and customized text in a customized email notification.
EMAIL SUBJECT TEXT
Schedule for 1/23/2018 – 1/25/2018 has been updated: Joyce Miller: Schedule Updates for Hometown Medical Center
Someone added the text for Hometown Medical Center in the Update Schedule Subject Line box; this is the customized text. The employee's name and schedule update information is the default text.
EMAIL BODY TEXT
Joyce Miller,
You have been scheduled for the following dates:
Your shift for 7a-3p on 1/23/2018 at 0700-1500 was added to your schedule.
Your shift for Night call on 1/25/2018 at 0700-1500 was added to your schedule.
Click the link below to access your schedule:
http://www.example.com/
Someone added Click the link below to access your schedule and the http://www.example.com URL to the Update Schedule Body Message box to customize this text.
The schedule change information is the default text.
