Updating the My Information Pages
The My Information menu lets you update the information Staff Manager has on file for you, including your passwords, security questions, and communication preferences.
Changing Passwords and Security Questions
The Change Password page is where you change your passwords and security questions. To open the Change Password page, from the Tools menu, select My Information > Change Password. See Changing Passwords in the topic Security and Passwords for complete information.
Setting My Preferences
The My Preferences page is where you can select what notifications you want to receive and how you want to receive them. What you see on the My Preferences page depends on what features your organization uses.
- The Email Notifications tab is always displayed.
- If your organization uses ShiftAlerts, the ShiftAlert tab is displayed.
- If your organization allows the use of calendar feeds for updating calendar applications, the Calendar Feed URL tab is displayed.
You cannot update your contact information in Clairvia Web. If you see that the email addresses or phone numbers on these tabs are incorrect, you should contact the Staff Manager Administrator for your department.
Setting Your ShiftAlert Preferences
Complete the following steps to set your ShiftAlert preferences:
- From the Tools menu, select My Information > Preferences. This opens the My Preferences page with the Email Notifications tab active.
- Click the ShiftAlert tab. This displays the ShiftAlert settings.
- Select Enable ShiftAlerts to receive ShiftAlert messages. If you do not want to receive ShiftAlert messages, deselect this check box. If your organization has used all its ShiftAlert employee licenses, the Enable ShiftAlert option is not available. In this case, positioning your pointer over the option displays the message The number of users registered for ShiftAlerts has exceeded the configured limit.
- Select the profiles you want from the Send ShiftAlerts from These Profiles box. This box displays all the profiles you are eligible to work in (primary, secondary, and float). Use CTRL+click to select multiple items. Use SHIFT+click to select a range of items. You must have selected Enable ShiftAlerts for the Send ShiftAlerts from These Profiles box to be active.
- Select as many Send ShiftAlerts By options as you want.
- Phone Call: Sends ShiftAlerts to you by telephone using IVR (Interactive Voice Response). You hear the information for the ShiftAlert and instructions on how to accept or decline the ShiftAlert opportunity.
- Text Message: Sends ShiftAlerts as SMS (Short Message Service) text messages to your selected mobile phone number. The text messages include directions for replying so that you can accept or decline the ShiftAlert.
- Email: Sends ShiftAlerts as email messages to your selected email address or addresses. The email messages include directions for replying so that you can accept or decline the ShiftAlert.
- Click Save to save the changes or Reset to clear all changes made since your last save.
Setting Your Email Notification Preferences
Your profile may not be configured to use all of the features displayed on this tab. If an option is unavailable for your profile, you cannot select it.
Complete the following steps to set your email notification preferences:
- From the Tools menu, select My Information > Preferences. This opens the My Preferences page with the Email Notifications tab active.
- Select Enable Email Notification to receive email messages. If you want to limit the email messages you receive, deselect this check box. Note, however, that if your profile uses email notifications to alert you of schedule postings and updates, you will still receive those messages.
- Check the email address or addresses listed for you. If you see that an email address is incorrect, or if you would like to have another email address added, you should contact the Staff Manager Administrator for your department.
- Select the email notifications you want to receive beside the email address you to use. For example, if you have two email addresses, you could set Schedule and Request Notifications to go to one address and Shift Swap and Opportunity Notifications to another, or you could set all notifications to go to the same address. Note that you must have Enable Email Notification selected for these options to be available.
- Select Schedule Notification to receive an email message when your schedule is posted or changed. If you deselect this check box, you still receive schedule email messages if your profile uses email notification, but you do not receive them as frequently. Unless a scheduler uses the On-Demand Email Notification option in Staff Manager Client, you should receive schedule email messages no more than once a day.
- Select Request Notification to receive an email message when you file requests and when a manager approves or denies those requests.
- Select Shift Swap Notification to receive an email message when you invite co-workers to swap shifts, when those invitations are accepted or declined, and (if your profile requires manager approval of shift swaps) when a manager approves or denies your shift swap invitations.
- Select Opportunity Notification to receive an email message when you accept a Schedule Me Shift Opportunity or when you apply for a Consider Me Shift Opportunity. You also receive an email when a manager accepts or declines your application for a Consider Me Shift Opportunity.
- Click Save to save the changes or Reset to clear all changes made since your last save.
Calendar Sync: Using the Calendar Feed URL Tab
The Calendar Sync feature lets Staff Manager send your schedule information directly to your calendar application, such as Apple iCal or Microsoft Outlook. Whenever your schedule is published or changed, that information is displayed in your calendar application automatically. An internet or intranet connection via a wired, wireless, or cellular data network and the ability to connect to the Clairvia Web is required to synchronize device calendars with schedules in Staff Manager.
Your calendar application determines how often it synchronizes (or syncs) data with Staff Manager. For example, Microsoft Outlook defaults to syncing calendar feeds every 15 minutes, but you may use the Send/Receive function to force your calendars to sync on demand. Since the Calendar Feed feature sends scheduling information based on the publishing date, the administrator has complete control in publishing or removing events from your work schedule.
Again, if your organization does not use calendar feeds, the Calendar Feed URL tab is not available.
Important: Review your phone or device documentation for instructions on setting up a Calendar Feed on your individual device.
Setting Up Your Calendar Feed for the First Time
Complete the following steps to set up your calendar feed for initial use:
- From the Tools menu, select My Information > Preferences. This opens the My Preferences page with the Email Notifications tab active.
- Click the Calendar Feed URL tab. This displays the Calendar Feed URL settings.
- Select Enable Calendar Feed URL.
- Click Create New URL.
- Click Save.
- Copy the new URL by selecting it, then going to the Edit menu and selecting Copy.
- Paste the URL into your calendar application or applications, following the directions in each calendar application.
Setting Up Your Calendar Feed at Subsequent Times
Keep in mind that each URL is unique, and you can use it for all your calendar applications. Do not create a new URL unless you need a one for security purposes.
- From the Tools menu, select My Information > Preferences. This opens the My Preferences page with the Email Notifications tab active.
- Click the Calendar Feed URL tab. This displays the Calendar Feed URL settings.
- Click Create New URL.
- Click Save.
- Copy the new URL by selecting it, then going to the Edit menu and selecting Copy.
- Paste the URL into your calendar application or applications, following the directions in each calendar application.
Important: You must update your calendar application or applications with your new URL. Your previous URL becomes inactive if you create and save a new URL, and any applications or devices using the previous URL will stop receiving calendar updates.
