If your organization uses email schedule notifications, you can receive email messages about employee schedule changes. These changes include employee requests and (if your profile uses them) shift swaps and shift opportunities.
How often you receive email messages depends on how you have configured your Manager View. You can select which employee actions trigger notifications and whether Staff Manager should send them to you individually or once a day. For example, you can select to receive messages for all requests as they are made and select to receive messages about all shift swap and shift opportunity actions once a day. If you select the once a day option, Staff Manager sends you one summary email message with all applicable schedule actions at the time set in the Staff Manager Administrator Default SMTP Settings dialog box. Note that the Default SMTP Settings dialog box is also where the Administrator Email Address is stored. This is the address Staff Manager uses as the From address in email schedule notifications.
If you manage more than one profile, emails contain a summary for each managed profile. The following table displays the parts of an email schedule notification message and sample text.
Email Subject: | Schedule Activity - [Your User Name] |
Email Body: |
There are [number] pending requests on Profile: [Profile Name] ([Organization Name]). or There are [number] Shift Opportunities with a pending request on Profile: [Profile Name] ([Organization Name]). or There are [number] Shift Swaps pending approval on Profile: [Profile Name] ([Organization Name]). or any combination of the above |
Example (assumes user chose all three schedule actions and the once daily option): |
Schedule Activity for TGREEN There are 5 pending requests on Profile: 6N MedSurg. There is 1 Shift Opportunity with a pending request on Profile: 6N MedSurg. There is 1 Shift Swap pending approval on Profile: 6N MedSurg. |
Important: If Staff Manager encounters an invalid email format, it stops sending email notifications.
In addition to receiving email schedule notification messages in your role as a manager, you can also receive them in your role as an employee. See Understanding Employee Email Notification Messages for more information.
