Processing Employee Requests
You process requests on the Administer Requests page. You can change a request's status to Approved, Denied, Wait Listed, or you can delete the request. You can also add a note to a request.
Requests with notes are marked with a note icon . You can read notes by positioning your pointer over the request or by right-clicking the request and selecting Details.
Important: Approved requests are not displayed in Staff Manager Client schedule views until you generate a schedule using the Approved Requests option in Schedule Editor.
Using Filters on the Administer Requests Page
You can configure your request settings so you can use filters to limit what the Quick List and the Administer Requests grid display.
- If you enable the Schedule Grid only option, any filter you use limits the profiles, tasks, and employees shown in the grid to those included in the filter, but the Quick List still displays all pending and wait listed requests for your selected profile.
- If you enable the Quick List and Schedule Grid option, any filter you use applies to the Quick List too. The Quick List also displays the message Filter Applied in red when a filter is in use.
Managing Single Day Requests
Complete the following steps to approve, deny, wait list, or delete a single day request. Note that the Wait List options listed below only display if you have enabled the optional Wait List Request setting.
- From the Schedule menu, select Administer Requests. This opens the Administer Requests page.
- Open the week containing the date of the request using the date menu if needed.
- To process a request, right-click the request and select an option from the menu. The available menu options change based on whether the request is pending or wait listed, as noted below.
- Details: Opens the request's details in a separate window.
- Add Note: Opens a window where you can add a note to the employee.
- Approve: Approves the request.
- Pending: Changes the request's status to Pending. This option is only available if your selected request has Wait List status.
- Wait List: Changes the request's status to Wait Listed. This option is only available if your selected request has Pending status.
- Deny: Denies the request.
- Delete: Removes the request.
- Click Save Changes. The Request Administration page refreshes, showing the updated request status.
Once you have approved, wait listed, or denied a request, right-clicking on that request displays a new menu option: Pending. This enables you to change the request's status to a pending state.
When dealing with a request, you may want to add a note to the employee. See Adding a Note to an Employee's Request.
Managing Multi-Day Requests
Clairvia Web enables you to handle requests for multiple days differently. You can approve, wait list, deny, or delete the entire request period, or you can manage each day individually. Note that the Wait List options listed below only display if you have enabled the optional Wait List Request setting.
Complete the following steps to approve, deny, wait list, or delete a multi-day request.
- From the Schedule menu, select Administer Requests. This opens the Administer Requests page.
- Open the week containing the date of the request using the date menu if needed.
- Right-click a day within the request to highlight it and select an option from the menu. The available options change based on whether the request is pending or wait listed, as noted below.
- Details: Opens the request's details in a separate window.
- Add Note: Opens a window where you can add a note to the employee.
- Approve All: Approves the entire multi-day request.
- Pending All: Changes the request's status to Pending. This option is only available if your selected request has Wait List status.
- Wait List All: Changes entire multi-day request to Wait List status. This option is only available if your selected request has Pending status.
- Deny All: Denies the entire multi-day request
- Delete All: Deletes the multi-day request
- Approve [date]: Approves only the day you selected
- Wait List [date]: Wait lists only the day you selected
- Deny [date]: Denies only the day you clicked
- Delete [date]: Deletes only the day you clicked
- Click Save Changes. The Request Administration page refreshes to display the updated request status.
If you process one day of a multi-day request, then right-click another date in the request, the Approve All, Wait List All, Deny All, and Delete All options change to Approve Remaining, Wait List Remaining, Deny Remaining, and Delete Remaining.
Once you have processed and saved a multi-day request, right-clicking a day shows a new menu option: Mark All Pending. This enables managers to restore the entire request to a pending state.
