Assigning Additional Duties
If your organization is using the optional Assignment Manager application, you can assign additional duties to your staff. Additional duties are non-patient activities that you assign staff to, often in addition to their patient care assignments. These duties can include tasks such as stocking IV trays, checking crash carts, and checking refrigerator temperatures. If you configured your additional duties with the time expected to complete those duties, that time is included as part of the caregiver’s assigned hours during the shift shown on the Summary by Caregiver view.
Complete the following steps to assign additional duties:
- From the Assignment Manager menu, select Patient Assign. This opens the Patient Assignment page with the Summary by Patient view active.
- By default, the page displays the data for the current date and shift category partition in the profile you last updated. To change to a different date, profile, or shift category partition, follow these steps:
- Select a date from the Date menu or use the Calendar tool.
- Select a profile from the Profile menu.
- Select a shift category partition from the Shift Partition menu.
- Click Go. This updates the page to display the data for the options you selected.
- In the Assign section of the toolbar, click Duties. This opens the Assign Duties view.
- The Caregivers table is on the left side of the page. You can expand or collapse all rows in the Caregiver Table by clicking the Expand and Collapse buttons beside the Sort menu. You can sort this table by selecting one of the following options from the Sort menu:
- Skill
- Caregiver: How caregivers are sorted depends on your Caregiver Identifier configuration. If the configuration uses Last Name, First Name, the caregivers display in alphabetical order by last name. If the configuration uses First Name Middle Name Last Name, the caregivers display in alphabetic order by first name. If the configuration uses Abbreviation, the caregivers display in alphanumeric order by abbreviation. Positioning your pointer over a caregiver name or abbreviation displays the caregiver's full name in a tooltip.

- The Additional Duties table displays the duties configured globally for your organization and the time in minutes (optional) defined to complete the duty. Select a duty from the Additional Duties table on the right, drag it to the Available Caregivers table on the left, and drop the duty on the desired caregiver's Add Duty row, which is marked with the Duty icon . Both tables update to show the new information.
- In the Available Caregivers table, the duty is displayed under the caregiver.
- In the Additional Duties table, the duty row darkens. This means the duty is assigned to one or more caregivers for the shift.
- When you have completed assigning duties, click Save.
Assignment Manager displays duties assigned to caregivers in the Notes/Duties column of the Summary by Patient and Summary by Caregiver views. Duty assignments also display in the Additional Duties table on the printable view of each Summary view. Assignment Manager updates caregiver hours assigned and unassigned to include the minutes of care associated with completing the additional duty in the Summary by Caregiver view.
